These Terms and Conditions apply to all tours, itineraries, and travel experiences organized by Black People Vacation and its parent company, BWP Travel, LLC. By submitting payment or a booking request, the Client agrees to the policies and responsibilities described herein.

Passport / Foreign Entry Requirements

A valid passport book (not a passport card) is required for international air travel. Proper documentation, visa requirements, and ensuring passport validity are the responsibility of the Client.

The Client must provide all names exactly as they appear on the government-issued passports that will be used for travel. Travelers may be denied boarding or entry if their names do not match on their travel reservation and passport.

Payment Schedule

A deposit of $300.00 is required at the time of booking to secure your spot on a Black People Vacation Tour. Any payments made to Black People Vacation constitute acceptance of the terms and conditions outlined herein.

Any remaining balance will be due in full 90 days prior to departure. Additional payments can be made at your discretion. An autopay feature is available if you choose to enable it.

Cancellation Policy

Cancellation requests must be made via email. There is a 48-hour cooling-off period after purchase for a refund, subject to a 4% processing fee.

Cancellation Penalty Schedule:

  • 91 days and over – Loss of deposit
  • 90 to 60 days – 50% of tour cost
  • 59 to 30 days – 75% of tour cost
  • 30 days or less – 100% of tour cost

Once booked, cancellation penalties are strictly enforced. We highly recommend purchasing travel insurance, as Black People Vacation cannot assist with refunds or compensation for penalties or cancellations once travel arrangements are confirmed.

Voluntary Changes

As a courtesy, bookings can be moved to a different group departure or converted from a group tour to a private tour if the change is made more than 90 days prior to departure. Within 90–60 days of departure, the deposit amount is forfeited, but any additional funds paid can be applied as a credit toward a future trip booked through Black People Vacation or BWP Travel, LLC.

If you are traveling with a companion and the number of individuals occupying a room changes due to a cancellation or booking adjustment, the remaining traveler(s) will be responsible for any additional costs incurred due to a change in the per-person occupancy rate.

Involuntary Itinerary Changes

Black People Vacation reserves the right to modify tour itineraries, sightseeing, or accommodations at any time due to unforeseen circumstances or events beyond our control. Efforts will always be made to operate tours as planned, but substitutions may occur as necessary.

Black People Vacation highly recommends all travelers purchase a comprehensive travel protection plan. While not mandatory, travel insurance can help protect against unforeseen events such as trip cancellations, medical emergencies, travel delays, or lost baggage.

We offer travel insurance options that can be added prior to your final payment deadline. Travel protection plans should include, but are not limited to:

  • Trip Cancellation
  • Trip Interruption
  • Trip Delay
  • Emergency Medical & Dental Expense
  • Emergency Medical Evacuation & Repatriation

Black People Vacation is not an insurance company and is not responsible for claim submission, payment, or adjustment. All claims must be filed directly with the insurance provider.

Health, Immunizations & Travel Advisories

It is the Client’s responsibility to review all relevant health, immunization, and entry requirements for their travel destination prior to departure. Some countries may require proof of vaccinations or health documentation for entry during pandemics or disease outbreaks.

Black People Vacation is not responsible for denied boarding or entry due to missing health or immunization documentation. Travelers should consult the CDC or their healthcare provider for the latest vaccination and health information before traveling.

Force Majeure

The Client and all members of the traveling party release and discharge Black People Vacation, its employees, officers, directors, agents, and contractors (the “Releasees”) from any liability arising from participation in the excursion, including but not limited to acts of third-party negligence, natural disasters, epidemics, pandemics, or other events beyond reasonable control.

Participation in any Black People Vacation tour constitutes full acceptance of these terms and acknowledgment that travel involves inherent risks.

Physical Requirements

A basic level of fitness is required to enjoy most itineraries as intended. Clients must inform Black People Vacation before making a deposit if they have any physical limitations or conditions that could prevent full participation or affect the safety of other participants. Some activities may have specific age, height, or weight restrictions.

Hotel Check-In / Room Upgrades / Occupancy Changes

Hotel check-in is typically in the afternoon. Depending on arrival times, there may be a wait before rooms are ready. Clients who wish to have guaranteed early check-in may add an additional hotel night at their own expense.

Requests for room upgrades or occupancy changes after booking are subject to availability and may result in additional charges.
