Vacation Package Terms & Conditions

These Terms & Conditions apply to all vacation packages offered by Black People Vacation and its parent company, BWP Travel, LLC (“Black People Vacation,” “we,” “our,” or “us”).

By submitting a booking request or making any payment toward a vacation package, you acknowledge that you have read, understood, and agree to these Terms & Conditions.

We encourage all travelers to carefully review these terms before making a reservation.

Passport & Travel Documentation

Travelers are responsible for obtaining and maintaining all required travel documents, including a valid passport, visas, and any entry documentation required by their destination.

For international air travel, a valid passport book (not a passport card) is generally required.

The Client must provide all names exactly as they appear on the government-issued identification or passport that will be used for travel. Black People Vacation is not responsible for costs or losses resulting from incorrect traveler information or insufficient travel documentation.

Payment Schedule

The required deposit amount will be communicated at the time of booking and may vary depending on the vacation package, supplier requirements, and reservation date.

Any payment made to Black People Vacation constitutes acceptance of these Terms & Conditions.

Unless otherwise stated, the remaining balance is due in full 90 days prior to departure. Additional payments may be made at any time, and automatic payment options may be available upon request.

Failure to make payments by the applicable due dates may result in cancellation of your reservation and applicable cancellation penalties.

Cancellation Policy

All cancellation requests must be submitted in writing via email.

A 48-hour cooling-off period applies following the initial booking and is eligible for a refund less a 4% payment processing fee, unless otherwise stated for a specific vacation package.

After the cooling-off period, the following cancellation penalties apply:

  • 91 days or more before departure – Loss of all non-refundable payments made
  • 90 to 60 days before departure – 50% of the total vacation package price
  • 59 to 30 days before departure – 75% of the total vacation package price
  • 29 days or less before departure – 100% of the total vacation package price

Once cancellation penalties become effective, they will be strictly enforced.

Voluntary Changes

As a courtesy, reservations may be transferred to another scheduled departure or converted to a private travel arrangement when requested more than 90 days before departure, subject to availability and any applicable supplier fees.

Within 90 to 60 days of departure, any non-refundable deposit is forfeited. Additional funds paid beyond the non-refundable amount may, at the sole discretion of Black People Vacation, be applied toward a future vacation package.

If the number of travelers occupying a room changes after booking, remaining travelers will be responsible for any increase in the per-person rate resulting from the change in occupancy.

Involuntary Itinerary Changes

Black People Vacation reserves the right to modify itineraries, accommodations, transportation, sightseeing, or other travel arrangements when necessary due to circumstances beyond our reasonable control or for the safety and enjoyment of our travelers.

Whenever possible, comparable substitutions will be provided.

Travel Protection

We strongly recommend that every traveler purchase a comprehensive travel protection plan to help protect their investment against unforeseen events.

Travel protection may provide coverage for situations including:

  • Trip cancellation
  • Trip interruption
  • Travel delays
  • Lost or delayed baggage
  • Emergency medical expenses
  • Emergency medical evacuation
  • Other covered travel-related events

Travel protection is not included unless specifically stated and will be offered before collecting your initial deposit or payment.

Black People Vacation is not an insurance provider and is not responsible for the administration, approval, denial, or payment of insurance claims. Any claims must be submitted directly to the travel protection provider in accordance with the terms of the policy purchased.

Health, Immunizations & Travel Advisories

Travelers are responsible for reviewing all health, vaccination, testing, and entry requirements applicable to their destination prior to departure.

Black People Vacation is not responsible for denied boarding, denied entry, quarantine requirements, or additional expenses resulting from a traveler’s failure to meet destination health or entry requirements.

We recommend consulting your healthcare provider and the appropriate government authorities before traveling internationally.

Force Majeure

Black People Vacation shall not be liable for any delay, cancellation, change in itinerary, loss, injury, damage, or additional expense resulting from circumstances beyond our reasonable control.

These circumstances may include, but are not limited to, natural disasters, severe weather, pandemics, epidemics, government actions, civil unrest, labor strikes, transportation disruptions, supplier insolvency, or any other force majeure event.

Travel involves inherent risks, and by participating in a vacation package, the Client acknowledges and accepts those risks.

Physical Requirements

Many vacation packages involve walking, stairs, uneven terrain, extended sightseeing, and other physical activities.

Clients should carefully review the itinerary and notify Black People Vacation of any mobility limitations, medical conditions, or accessibility needs before making a reservation.

Certain activities may also have age, height, weight, or health restrictions established by local operators.

Hotel Check-In, Room Upgrades & Occupancy Changes

Hotel check-in times are established by each property and are typically in the afternoon. Early check-in cannot be guaranteed unless an additional hotel night is reserved.

Requests for room upgrades, bedding changes, or occupancy modifications after booking are subject to availability and may result in additional charges.

Black People Vacation cannot guarantee room locations, views, connecting rooms, or special requests, although every effort will be made to communicate your preferences to the hotel.
